AKADEMY Dance Company – Terms & Conditions

By registering with AKADEMY Dance Company, you (or the parent/guardian of a student under 18) confirm that you have read, understood and agree to the following Terms & Conditions.

1. Registration

1.1 All students must complete a registration form before attending classes.

1.2 Parents/guardians are responsible for ensuring all contact information, emergency contacts and medical details are accurate and kept up to date.

1.3 AKADEMY Dance Company must be informed immediately of any changes to personal or medical information.

2. Fees & Payments

2.1 Fees are payable monthly by direct debit on the 1st day of each month.

2.2 Monthly fees are calculated by spreading the annual tuition fees over 12 equal monthly payments, regardless of the number of classes in each month. This includes scheduled academy closures such as Christmas and other planned holidays.

2.3 Monthly payments secure your child's place within the academy and are not based on attendance.

2.4 Missed classes due to illness, holidays or personal commitments are non-refundable and cannot normally be credited or transferred.

2.5 If AKADEMY Dance Company cancels a class, a suitable alternative class or arrangement may be offered where possible.

2.6 If payment is not received by the due date, AKADEMY Dance Company reserves the right to:

  • Charge a late payment fee where appropriate.

  • Suspend attendance until outstanding fees are paid.

  • Withdraw the student's place if payment remains outstanding.

2.7 Any costs incurred recovering unpaid fees may be passed on to the account holder where legally applicable.

3. Cancellation of Membership

3.1 A minimum of one month's written notice is required if a student wishes to leave AKADEMY Dance Company.

3.2 Standing Orders remain the responsibility of the account holder and must be cancelled after the final payment has been made.

3.3 Refunds cannot be issued where payments continue due to a Standing Order not being cancelled.

4. Timetable & Fee Changes

4.1 AKADEMY Dance Company reserves the right to amend:

  • Class times

  • Teachers

  • Venues

  • Timetables

  • Fees

  • Class structure

Reasonable notice will always be given wherever possible.

5. Attendance

5.1 Students should arrive at least 5 minutes before class.

5.2 Regular attendance is encouraged to ensure safe progression and consistent development.

5.3 Parents should notify AKADEMY Dance Company as soon as possible if a student cannot attend.

6. Health & Medical Information

6.1 All injuries, illnesses or medical conditions affecting participation must be declared before class.

6.2 Parents/guardians are responsible for keeping all medical information updated.

6.3 Students participate at their own risk.

6.4 AKADEMY Dance Company reserves the right to refuse participation if staff believe it would be unsafe.

6.5 Students requiring medication during class must:

  • Bring medication clearly labelled.

  • Inform a teacher upon arrival.

  • Provide written instructions where necessary.

6.6 Students should bring a labelled water bottle to every class.

7. Collection of Children

7.1 Children must be collected promptly from the designated collection area.

7.2 Children will not be permitted to leave alone unless prior written permission has been received.

7.3 Late collections should be communicated as soon as possible.

8. Physical Contact

8.1 Dance teaching occasionally requires appropriate physical guidance to safely correct posture, alignment or technique.

8.2 Any physical contact will always be:

  • Professional

  • Appropriate

  • Respectful

  • Necessary for teaching or safety purposes

8.3 All teaching staff hold appropriate safeguarding training and Enhanced DBS checks.

9. Behaviour

Students and parents are expected to treat staff, volunteers, venues and fellow dancers respectfully at all times.

The following will not be tolerated:

  • Bullying

  • Harassment

  • Aggressive behaviour

  • Discrimination

  • Abusive language

  • Damage to property

  • Unsafe conduct

AKADEMY Dance Company reserves the right to suspend or terminate membership without refund where behaviour is deemed unacceptable.

10. Uniform

10.1 Students are expected to wear the correct AKADEMY Dance Company uniform.

10.2 Correct footwear must be worn for every class.

10.3 Uniform order dates will be communicated throughout the year.

10.4 Hair should be worn neatly and securely as instructed for each class.

10.5 Jewellery should not be worn during class, except for small stud earrings where they cannot be removed.

11. Performances, Competitions & Events

11.1 Participation in shows, competitions and examinations may require additional rehearsal attendance.

11.2 Costume, examination and competition fees may be payable separately.

11.3 Performance fees are generally non-refundable once costumes or tickets have been ordered.

11.4 Students are expected to attend all compulsory rehearsals where participating in performances.

12. Photography & Video Consent

By registering with AKADEMY Dance Company, you consent to photographs and video recordings being taken of yourself or your child during classes, rehearsals, performances, competitions, workshops and academy events.

These may be used for:

  • Social media

  • Website

  • Printed marketing

  • Digital advertising

  • Promotional videos

  • Press releases

  • Newsletters

  • Educational materials

  • Other promotional purposes relating to AKADEMY Dance Company.

Images and videos may be edited for presentation purposes but will never be used in a misleading or inappropriate manner.

You may withdraw your consent at any time by contacting AKADEMY Dance Company in writing. Withdrawal will apply to future use only and may not apply to materials already published.

No payment or compensation is payable for the use of photographs or videos.

13. Data Protection (UK GDPR)

AKADEMY Dance Company processes personal information in accordance with UK data protection legislation.

Personal information is collected only for legitimate business purposes including:

  • Student registration

  • Emergency contact

  • Class administration

  • Safeguarding

  • Invoicing

  • Communication

  • Competition and examination entries

Personal information will never be sold to third parties.

14. Safeguarding

AKADEMY Dance Company is committed to providing a safe, inclusive and supportive environment for every student.

All safeguarding concerns are managed in accordance with the academy's Safeguarding Policy.

Parents may request a copy of our Safeguarding Policy at any time.

15. Liability

Whilst every reasonable care is taken, participation in dance and physical activity carries an inherent risk of injury.

AKADEMY Dance Company accepts no liability for injuries sustained except where caused by proven negligence.

Students participate entirely at their own risk.

Parents remain responsible for ensuring students are medically fit to participate.

16. Personal Property

Students are responsible for their own belongings.

AKADEMY Dance Company accepts no responsibility for loss, theft or damage to personal possessions.

17. Emergency Closures

In the event of circumstances beyond our control, including severe weather, venue closures, public health emergencies or other unforeseen events, classes may be rearranged, delivered online where appropriate or cancelled.

18. Amendments

AKADEMY Dance Company reserves the right to amend these Terms & Conditions from time to time.

The latest version will always be made available to members.

19. Acceptance

By signing the registration form and/or attending classes, you confirm that you have read, understood and agree to abide by these Terms & Conditions.

Failure to comply may result in suspension or termination of membership at the discretion of AKADEMY Dance Company.
